Work direction provided by Marshall College Staff: Assistant Dean of Student Affairs, Assistant Dean of Academic Advising, Operations and Program Analyst, DOC Program Coordinator, and Housing Assistant. 

Thurgood Marshall College Administration Front Desk Assistant Job Description 

The Thurgood Marshall College Administration Front Desk Assistant (FDA) is an integral member of our team, serving as one of the front-line representatives of the Marshall College Community. In the dynamic environment of the front desk, a successful candidate should be able to manage administrative and customer service, maintain accurate logs for lockouts, equipment check-out, package pick-ups, and assist with data entry of Excel spreadsheets, Word documents, and Access databases while maintaining an organized and welcoming environment. The FDA is often the first contact for students, visitors, and other guests. A FDA must demonstrate professionalism and customer service at all times while also responding quickly and effectively in emergency situations. This position will offer the student the opportunity to develop administrative, leadership, and communication skills. We are looking for someone who is highly motivated, organized, and committed to enhancing the mission of Thurgood Marshall College. 

Minimum Qualifications 

  • Enrolled as a full-time or part-time student at UC San Diego. 
  • Not required, but preferred if you are work-study eligible. 
  • Must be in good academic standing, as well as good Student Conduct and Residential Life standing.
  • Strong organizational and time management. 
  • Strong communication skills. 
  • Willing to learn new things and enhance your leadership and social skills. 
  • Have basic knowledge of design and marketing skills 
  • Have basic knowledge of office tasks, including data entry, word processing, and phone etiquette.
  • Ability and willingness to be a positive role model to other students and the Thurgood Marshall Community. 
  • Provide good customer service for students, staff, and visitors, including answering questions and providing resources. 
  • Ability to accept responsibility, take initiative, and pay attention to detail. 
  • Available to work office hours throughout the week, at least 7 hours per week, and some weekend hours can vary (Opening and closing, etc.) 

Duties and Responsibilities 

  • Provide good customer service for students, staff, and visitors, including answering questions and providing resources. 
  • Sustain a strict level of confidentiality on all matters related to student and staff sensitive information and other job duties. 
  • Maintain a clean, organized, and welcoming desk at all times. 
  • Answer phones, forward calls, and take down messages appropriately. 
  • Regularly maintain office space (declutter, organize, vacuum, and do some light dusting and cleaning of

surfaces). 

  • Collect and sort fliers and posters for approval by professional staff. 
  • Sort and distribute mail and other correspondence to professional staff. Receive staff packages. Maintain accurate logs for lockouts, equipment check-out, package pick-ups, etc. 
  • Assist with data entry of: Excel spreadsheets, Word documents, and Access databases. Assist with updating website information as directed. 
  • Oversight/monitoring of online calendars 
  • Provide administrative support with events/programs/etc. as assigned within classification Other Special Programs/Events support tasks as assigned within classification. 
  • Other Office Front Desk Assistant tasks/projects as assigned within classification. 
  • Attend FDA Staff meetings. 
  • No Facebook, YouTube, or other social media use on office monitors during work shifts. Please ensure that your engagement with social media on personal devices does not interfere with the duties, responsibilities, and expectations herein. 

RESPONSIBILITY LEVELS: 

Level 1, $15.55 -duties described above in CORE RESPONSIBILITIES. 

Level 2, $16.55 - Student is fully operational in all duties listed above. In addition to Level 1 duties, student will answer questions and assist new hire level 1 staff with Strong organizational skills to prioritize tasks within an agreed upon schedule. Applicant must have previously been employed as a OFFICE FRONT DESK ASSISTANT and/or have experience with some or all of the following: 

  • knowledge of Marshall’s Office Front Desk Assistant operations/program 
  • experience assisting other Student Assistants including creating/updating Student Assistant desk manual/guidelines 

Student may also be assigned special projects to complete independently, with minimal supervision. CBO-HR Coordinator will contact you for specific details related to projects and/or additional duties. 

QUALIFICATIONS: 

**Currently seeking candidates for the following level/s: Level 1, Level 2** 

Level 1 

  • Excellent interpersonal skills including verbal and written communication. 
  • Ability to maintain a strict level of confidentiality on all matters related to student and staff, sensitive information and other job duties. 
  • Skill in using Microsoft Office programs, multiple line telephones and various office machines such as photocopiers, scanners and fax. 
  • Ability to retrieve data from computerized databases. 
  • Strong customer service skills to clearly and effectively interact with individuals of varying ages, and cultural backgrounds, to provide information, resolve problems, make referrals and interact with the general public 

Level 2 

  • All items noted in Level 1, and;
  • Strong organizational skills to prioritize tasks within agreed upon schedule.
  • Applicant must have previously been employed as a OFFICE FRONT DESK ASSISTANT and/or have experience with some or all of the following: knowledge of Marshall’s Office Front Desk 
  • Assistant operations/program, and experience assisting other Student Assistants. 

CONDITIONS OF EMPLOYMENT 

  1. Must pay UCSD Student Services fees each quarter working (must have paid Fall '25 UCSD student services fees). 
  2. Upon hire, MUST be able to provide proof of eligibility to work in the U.S. Original, unexpired documents REQUIRED. No photocopies accepted. No exceptions. 

Contract Period 

The FDA position is a student employment opportunity with a contract period running for the academic year (consecutive Fall, Winter, and Spring Quarters). The contract period includes both pre-training and in-service training sessions. All FDA staff members are expected to participate fully in all training and operational activities that take place prior to the beginning of the academic year. FDA staff are required to be present for and assist with all opening and closing operations.

FDAs are required to reapply for additional years as previous employment does not represent a commitment to rehire staff. FDAs will not be excused from FDA responsibilities, including training, for commitments, including Orientation, athletic competitions, leadership training, personal vacations, outside employment, or other on or off-campus activities unrelated to academics. This appointment is subject to termination prior to its normal contract period for failure in assigned duties or for conduct issues inappropriate to this position.
